How to manage SACCO members and their records

Everything in a SACCO hangs off the member record. When member records are complete and verified, loans, dividends and exits are simple; when they are not, every one becomes an argument.

What a complete member record contains

Registering and verifying members

Register each person once. Before registering, search by phone number and national ID — if the person already has an account (for example as a member of another SACCO on the same system), confirm their identity rather than creating a duplicate. Upload a copy of the ID and mark it verified. Collect the membership fee and open the compulsory savings and share accounts at the same time.

Member types and groups

Member types distinguish individuals, joint members, groups and institutions. Member groups are useful for solidarity-group lending, zones, employer payroll lists, or enterprise groups — and let you message or report on a group at once.

Keeping members informed

  • A receipt (printed and by SMS) for every transaction.
  • A reminder a few days before each loan instalment is due.
  • A statement on request, and access to their own balances online.

Frequently asked questions

At least full name, phone number, national ID, date of birth, address, date joined, member type, branch and next of kin with their share of benefits — plus copies of identity documents.

Settle or recover any loans, pay out savings, redeem shares according to the bye-laws, then mark the member as exited with the date and reason. A member with open balances or loans should not be exited.
