SACCO management

What is SACCO management software? A complete guide

If your SACCO still runs on ledger books or spreadsheets, you have probably asked whether “SACCO software” is worth it and what it should do. This guide answers both.

What is a SACCO?

SACCO

A savings and credit cooperative organisation: a member-owned financial cooperative in which members save regularly, buy shares, and borrow from the pooled funds.

Savings are the SACCO’s obligation to its members, shares are the members’ ownership, and loans are how the SACCO earns the income that pays interest on savings, covers costs and builds reserves.

What SACCO management software does

SACCO management software

A system that records members, savings, shares and loans, keeps the SACCO’s double-entry accounts, controls who can do what, and produces member statements and financial reports.
ModuleWhat it should do
MembersRegistration, next of kin, documents, member types and groups, statements, self-service access.
Savings & sharesProducts with rules, deposits and withdrawals, interest, share capital, fixed deposits.
LoansProducts, applications, guarantors, approvals, schedules, repayments, arrears, penalties, restructuring.
AccountingChart of accounts, automatic journals, general ledger, trial balance, income statement, balance sheet.
ReportsPortfolio at risk, collections, registers — exportable to Excel and PDF.
ControlsRoles and permissions, maker–checker, audit trail, branch access.

Why spreadsheets stop working

Spreadsheets are fine for a handful of members. As a SACCO grows, four problems appear:

  • Member balances, the cash book and the accounts are kept separately and drift apart.
  • Loan schedules and interest are calculated by hand and disputed.
  • There is no record of who changed what, so errors and fraud are hard to trace.
  • Year-end accounts take weeks, because the treasurer rebuilds the books from registers.

Good SACCO software fixes these by recording each transaction once and deriving everything else — balances, journals and reports — from it.

How to choose SACCO software

  1. 1

    Check the accounting

Is it real double-entry, generated from member transactions? Ask to see a trial balance. (What double-entry means for a SACCO.)
  2. 2

    Walk a loan through

Capture, approve, disburse and repay a loan. Can you see the schedule before approving? Are arrears aged automatically?
  3. 3

    Look at the controls

Approval levels, maker–checker and an audit trail should be standard, not extras.
  4. 4

Test getting data in and out

Can you import your members and opening balances? Can every report be exported to Excel?
  5. 5

    Try it on a phone

Staff and members will use ordinary phones on ordinary connections.

Frequently asked questions

A SACCO (savings and credit cooperative organisation) is a member-owned financial cooperative. Members save regularly, buy shares, and borrow from the pooled savings at interest; surpluses belong to the members.

Software that records a SACCO’s members, savings, shares and loans, keeps its double-entry accounts, controls staff access and produces statements and financial reports.

No. Small SACCOs often benefit most, because one treasurer no longer has to reconcile registers and spreadsheets by hand. What matters is that the software is simple to start with and does not need its own server.
