SACCO software

SACCO software for savings, loans and accounting

SaccoMonitor is SACCO software that runs a savings and credit cooperative from one place: members, savings and shares, loans, and the double-entry accounts behind every transaction — in a web browser, for staff and members.

What is SACCO software?

Definition

SACCO software is a system that records a savings and credit cooperative’s members, savings, shares and loans, keeps the accounts, and produces member statements and financial reports — replacing paper ledgers and spreadsheets.

A SACCO’s work is simple to describe and hard to keep accurate: members save, buy shares and borrow, and every shilling must be traceable to a member and to the books. SaccoMonitor keeps those two views — the member’s accounts and the SACCO’s general ledger — in step automatically. When a teller records a deposit, the member’s balance changes and a balanced journal entry is posted in the same step, so the two can never disagree.

Who SaccoMonitor is for

OrganisationWhat SaccoMonitor handles
Community SACCOsMember savings and shares, loans with guarantors, AGM-ready financial statements.
Staff (employee) SACCOsRegular savings, loans, and statements members can check from their phone.
Savings & investment groupsContributions, share capital and loans with proper records instead of a notebook.
Microfinance institutionsLoan products, arrears ageing, portfolio at risk, penalties and write-offs with the accounting behind them.

Why a SACCO moves from spreadsheets to SACCO software

Spreadsheets work until the SACCO grows. The usual problems are the same everywhere:

  • Member balances and the cash book stop agreeing, and nobody can say why. In SaccoMonitor each transaction updates both at once.
  • Loan schedules are calculated by hand and interest is argued over. SaccoMonitor builds the schedule from the product rules and shows it before approval.
  • Reports for the board take days. Here the trial balance and financial statements are always current.
  • Anyone can edit anything. SaccoMonitor has roles, maker–checker approvals and an audit trail that records every change.

The accounting is built in, not bolted on

Because every operation posts its own journal, the SACCO accounting is a by-product of daily work. Savings sit in a liability account, share capital in equity, loans in loans receivable — and the software checks that member sub-ledgers reconcile to the general ledger.

Trial balance in SaccoMonitor: every posting is double-entry, so debits always equal credits.

Getting started

Registering a SACCO creates its chart of accounts, default savings and share products, a head-office branch and the standard staff roles. You can then import members from Excel with their opening balances — see how to digitize SACCO operations for a step-by-step plan. SACCOs in Uganda can read about local considerations on the SACCO software in Uganda page.

SaccoMonitor runs in the browser, so there is nothing to install on staff computers and no server for the SACCO to maintain.
