Member management

SACCO member management software

Every SACCO starts with its members. SaccoMonitor keeps one complete record per member — identity, next of kin, documents, accounts and loans — and gives members their own secure view of it.

What SACCO member management covers

Definition

SACCO member management is keeping accurate, verified records of each member — who they are, how to reach them, who inherits their savings, and every account and loan they hold — and letting them see their own position.
  • Registration with automatic member numbers, member types (for example individual, group, institution) and membership fee.
  • Next of kin and beneficiaries with relationship, contact and percentage share.
  • Documents such as national ID copies, with a verified / rejected status.
  • Member groups for solidarity groups, zones or payroll lists.
  • Status changes — active, inactive, suspended, exited — with a reason; a member with money or loans outstanding cannot exit.
  • Branch transfers with history.
  • Statements of all accounts and loans for any period, in Excel, PDF or print.

Member self-service portal

Members sign in on their phone with their phone number. They can see savings, share and fixed deposit balances, download statements, follow their loan schedule, use a loan calculator, apply for a loan and request a withdrawal. Requests arrive with staff for review — the member cannot move money on their own.

SMS and e-mail to members

SaccoMonitor can text members automatically after deposits, withdrawals and loan repayments, and remind them a set number of days before an instalment is due. Staff can also send a message to one member, a branch, a group, members in arrears or members with instalments due soon. Messages use placeholders such as the member’s first name and balance, and the SACCO’s prepaid SMS credit is shown before sending.

Bringing an existing member register across

  1. 1

Download the template or use your own sheet

Headings such as “Name”, “Mobile” or “Savings” are recognised automatically.
  2. 2

    Check the file

Every row is validated — missing phone numbers, repeated numbers, bad dates — and nothing is saved yet.
  3. 3

    Import

Valid rows are imported in batches with opening savings and share balances; the results can be downloaded.

Frequently asked questions

Staff enter the member’s name, phone number and member type, plus optional details such as national ID, date of birth, occupation, address and next of kin. The system issues a member number, opens the accounts marked as required for new members and can record the membership fee.

If the phone number, e-mail or national ID already belongs to someone, staff are warned and must confirm the person’s identity before linking the existing login. Nobody is attached to a membership silently.
